Announcing a new database developed specifically for Visitation Centers!

Duluth Family Visitation Center has developed a database utilizing the program Access 2000 to track demographic data as well as the phone calls, scheduling, and logging. Visit schedules can be printed for families and the daily schedules are printed for the center with ease and accuracy. The database utilizes “phone threads” for tracking phone calls. Each time a call comes in for a specific topic, a phone thread is created and tracked in a series of phone call summaries, until the issue is resolved. The history is displayed on the computer screen and the coordinator can easily clarify past communication while on the phone with a participant.

The database simplified the logistical work of coordinating the Visitation Center. Another benefit was reducing the time to prepare quarterly reports for funders from three days down to three hours. The database has been a great time saver and our center runs much more smoothly with fewer visit cancellations!
